Scope

Stu Anderson reports to the UUFSD board as he assumes chairmanship of the Buildings & Grounds committee. Status report highlights issues and upcoming activities.

Summary

Presented this outline to board meeting on 2007-04-23. Most of these topics will grow into documents in their own right.

Stu made a presentation followed by a vision exercise and finally a plea for money.

Leadership Philosophy
Relationship to Board and Other Groups

Board provides: Direction, authority, coordination, funding and other resources. B&G provides: Recommendations, budget requests, planning and execution. Others: Office, Design Review, Sunday Services, Green Sanctuary, Sandy Hill, Montessori.

Organizational Tasks
Define Policies and Procedures

Responsibilities, personnel, finance, communication, operations... Leadership guides for: meetings, work parties, projects, maintenance.

Manage Information

Identify documents projects and maintenance tasks clearly. Establish file system and document index in office and/or website. Document templates: project plan, maintenance schedules, budgets...

Manage Resources

Clean out and reorganize the shed. Start volunteer skills inventory.

Manage Maintenance

Develop maintenance schedules (weekly, monthly, quarterly and annual).
Include: inspections, cleanup, weeding, painting, planting, fighting entropy :)

Projects & Crises
Irrigation & Landscape

Support Greg Brown and Caroline's ongoing project.

Erosion and Paths to Montessori

Block off access. Future: Dirt to cover tree roots. Steps to formalize paths.

Kiosk Roof & Umbrellas

Replace roof for cost of materials. Future: build umbrella storage chest.

Office Roof & Air Conditioning

Replace fiberglas section of roof with insulated roof.
Future: Capital campaign to build admin building or expand YRUU room.

Kitchen Roof

Investigate leaks - patch and flashing? Future: replace roof?

Vermin & Poisons

Alternate solutions: shake-away, traps, seal buildings, deny habitat & food.

Board Responses

Two avenues of response were provided for board members. A public brainstorming session to capture the positive vibes and private note cards to jot down concerns.

What Is Your Vision?

Stu facilitated a brainstorming exercise to engender enthusiasm for the future possibilities of UUFSDs Buildings and Grounds. He wrote down everything he heard on a couple sheets of newsprint. The rules were: positive comments only, blurt out whatever comes to mind. Here are the ideas, in no particular order, numbered for reference.

  1. New office with bathroom
  2. Natural feel - keep the wildness
  3. Fun work parties
  4. Yurts as temporary buildings
  5. Replace 1st generation buildings
  6. Site map for members & visitors
  7. New signs
  8. Repair dangerous brick areas
  9. Increase comfort and safe access
  10. Replace umbrellas w/ permanent sunshade
  11. More toilets
  12. Modernize
  13. Video viewing space that works in daytime
  14. Cheese & wine cellar
  15. Parking for all
  16. Night lights
  17. Internet (WiFi on campus)
What Are Your Concerns?

To provide an avenue for more detailed or critical input, concerns were also handwritten on 4x6 index cards which were collected in an envelope. Here are those concerns, in no particular order, numbered for reference.

  1. How about replacing the entire foof? How much more expensive than sectiions?
  2. New, more obvious signs to the Fellowsip; placement, size, attraction factor
  3. Replace umbrellas w/ overall sun shade.
  4. Don't try to do too many projects at once
  5. Split site into different named sections and publish map
  6. Nice work
  7. Would like to see all you mention done
  8. We need new buildings: New office; Site map
  9. Front steps are rotting / cracking in places
  10. Long term: replace wooden buildings
  11. We need an inventory done on the entire site on what needs repair.
  12. I can add problems: RE classrooms - rotting wood, leaking roofs
  13. Also need plan for what we need to spend and when
  14. I use the Montessori parking lot happily now. I will hate using it if the path is bloacked!
  15. Uneven bricks are a tripping hazard
  16. I think people will respond to requests to participate in specific, well planned tasks
Funds for Roofs Available

Stu requested money to repair the roof of the amphitheater kiosk and to replace and insulate the fiberglas "skylight" section of the office roof. The project will be done with volunteer labor for the cost of materials.

There is already $2,000 in the budget to have the kiosk done professionally. B&G will do both roofs within that budget. The office needs to be finished by June to avoid summer heat.
