Project to document UUFSD's physical site and facilities. Catalog existing and create new drawings and documents as needed. Include: structural; mechanical; electrical wiring & breaker panels; water & gas plumbing, meters & shutoffs; irrigation; telecomm networks - phone, computer, video. Make these readily accessible.

Overview

Extant documentation of UUFSD's physical site and facilities is diverse, distributed and incomplete. As we approach our 50th anniversary, it would be well to collect, organize, index and augment these documents before we lose the artifacts and memories necessary to do so.

These days, digital information is the most convenient to access, but data formats (particularly CAD drawings) are proprietary and the storage media is shortlived. Rather than attempt to convert piles of drawings to digital formats, catalog them in simple descriptive formats (i.e. HTML). The user can easily find what information is available then decide whether to wade into the tubes of yellowed drawings.

Convert only the most urgent or frequently accessed drawings to web-pages, as the need arises. These would include a general site map, irrigation maps, shut-off valve locations, electrical breaker maps.

Document Archives

Where are documents now? Where should they be kept in the future?

Most of the extant architectural and other large format drawings are in the Administration Office (formerly Searcher's Hall). From 1995 to 2007 these were stored in a cabinet just under the leaky fiberglas roof where they suffered some UV and water damage. When the roof was replaced in June 2007 they were moved to a safer location.

Just to the right as you enter the Office building is a wooden credenza containing these drawings rolled up in tubes. These should be bagged and tagged in a dedicated file cabinet drawer.

A growing number of sketches and hardcopy equipment manuals are being collected by Stu Anderson in a set of UUBG file folders. These are kept in letter size manilla file folders with printed labels. The labels mimic UUBG document or task ID numbers and titles. Either UUBG-NNN TYPE: TITLE or TID-TTT TASK TITLE.

Active files are in a portable UUBG file box. Archived files are at Stu's engineering office. Eventually these should end up in a file drawer in the office.
